Holidays and absences are requested and approved in the app, with the types set by Spanish or Estonian law and a record of who requested, who approved, and when. Shift schedules are prepared as a draft and take effect once published, every worker’s file carries acknowledgement of receipt, and at month-end you export the hours for your accountant. What it includes

  • Types of absence from each country’s statutory catalogue, with their article; also partial-day absences, sick leave with dates and attached supporting documents. Rejecting requires a written reason.
  • Holiday balance: annual entitlement, accrued, available and end-of-year forecast, with per-worker improvements.
  • Shift schedules and shifts with clock-in, clock-out, break and on-call duty; once published, they take precedence over the weekly schedule.
  • A file with each worker’s PDFs — contract, payslip, occupational risk prevention, PPE and others — with “Acknowledgement required”, “Retain until” and “Legal hold”.
  • A monthly CSV of hours for payroll: scheduled, worked, overtime, holidays, sick leave and other leave. No amounts: salaries remain with your accountant.
  • An indicative severance simulator for Spain and for Estonia.
  • A record of each worker’s data-protection rights, and deletion once the statutory period expires — 4 years in Spain, 7 in Estonia — with a certificate.

How it works day to day

  1. Laura requests holidays from the app and sees her balance.
  2. The manager approves them from Home and publishes the month’s shift schedule.
  3. They upload Laura’s contract to her file with “Acknowledgement required”, and she acknowledges receipt.
  4. At month-end, the manager exports the hours CSV for the accountant.

Clocking in does not save the location. The workday’s GPS route is part of the Professional plan, needs the native app and the worker’s signed consent. The severance simulation is indicative and does not replace your employment advisor.

Questions about Your team, on file and free of paperwork

Does it replace my payroll software?

No. It exports a CSV with the hours and the absences; salaries and social security contributions remain your accountant’s job.

Does it work for Spain and for Estonia?

Yes. The types of absence, the retention periods and the severance calculation follow each country’s law.

Can I see where each agent is?

Only in Professional, with the native app and their signed consent, and only during the workday. You see a worker’s route for a single day.

What happens to the data of an employee who leaves?

Work-time records are kept for the statutory period: 4 years in Spain and 7 in Estonia. After that, the administrator can carry out deletion, unless there is a legal hold.
