Property software for family offices

Family wealth is usually well invested and badly documented. The day someone needs a deed, a lease expiry date or the real cost of a property, the search through emails, law offices and drawers begins.

The family’s property on a map, not in a list

In Domuspace’s family office property software, each property appears where it is, on its real plot on the cadastral map, with its cadastral reference. It’s the quickest way to understand scattered holdings — a building here, a vacant plot there, two let commercial units — and the one that best explains to the next generation what there is and where it is.

Every document in its folder, with its permission

In company contracts, from the Professional plan, deeds and powers of attorney, leases and corporate documentation are uploaded as PDFs to their folders — corporate, internal, other — with permissions per person. Older documents are uploaded one at a time, and everything signed in the app goes automatically into the contract register: what was signed, with whom, when and of what type.

The legally valid original stays where it should: in the notary’s official records and at the Land Registry (Registro de la Propiedad), which is where the nota simple, the extract showing ownership and charges, comes from. Domuspace organises the working copy and who can see it.

Rentals and expiry dates in plain sight

If the property generates income, rental tracking — included from the Basic plan — keeps each lease’s file with its monthly payments, its issues and alerts for contract end and overdue rent. Domuspace records what has been collected; it doesn’t collect it for you.

In the calendar you note each expiry date as a task with the person responsible, who gets the day’s summary on their phone before starting work, with quiet hours so nothing arrives outside working hours. New contracts come from your template in contracts and e-signature and are signed remotely, without anyone having to catch a plane.

Expenses that read themselves

With the finance module on the Extra plan, invoices for homeowners’ association fees, refurbishments, insurance or utilities are uploaded as a PDF or a photo from a computer or tablet, and the app reads the totals — issuer, dates, taxable base, tax and total, not the line items — won’t save an invoice with the same number as one already recorded and downloads a CSV of the transactions for your accountants.

What isn’t there yet: the value of each asset

The owner portal already has a portfolio with the price each owner enters, but the trend and market data are empty, marked as coming soon with no date, and performance isn’t calculated. We say it plainly because today it can’t be used to track the value of a family’s holdings.

One app for the family and its advisers

Each person logs in with their own user, role and language — Spanish, English, Estonian or Russian — and sees only the data and folders you give them: the tax adviser, their folder; the property manager, the rentals; the next generation, the documents you share with them. Modules depend on the plan and the role, not on a per-person permission. All in the same app, on the computer or the phone; native apps for Android and iOS are on the way.

Two countries, one set of holdings

Many families own property at both ends of Europe. Domuspace operates in Estonia and Spain: the cadastral map covers all of Estonia, including Tallinn and Tartu, and the whole province of Málaga, including the Costa del Sol, although each company works the plots of its own country. In Spain, the Cadastre’s online office (Sede Electrónica del Catastro) lets you look up the non-protected data of each property for free; the owner and the cadastral value are protected data under Article 51 of the Spanish Cadastre Act (Ley del Catastro).

What Domuspace doesn’t do

It’s property software for family offices, not a tool for financial investments or wealth consolidation: it doesn’t value portfolios, calculate returns or keep the company’s accounts. Frequently asked questions

Can several family members log in?

Yes, each with their own user, role and language, and only with the data and folders you give them. The Basic plan includes three users, Professional six and Extra nine.

Is the data private?

Each company has its own database, and outside your organisation only what you deliberately share is seen, for example in a collaboration. Two-step verification is switched on by each user; letting a company make it compulsory for everyone has been decided and will come later.

Does it work if the property is in two countries?

Partly. The app works in four languages, but each company only sees the plots of its own country on the cadastral map: all of Estonia or the whole province of Málaga, Costa del Sol included.

Does it alert me to rental expiry dates?

Rental tracking alerts you to contract ends and overdue rent. In the calendar, you create each expiry task yourself: it isn’t created automatically.

Can I already see the value and performance of each property?

No. The owner portal has a portfolio with the price the owner enters, but the trend and market data are marked as coming soon, with no date, and performance isn’t calculated.
