Property management software built to manage, not to advertise

Almost all real estate and property management software is designed for selling: portfolios, listings, portals. Anyone managing properties for third parties lives on something else: contracts that are honoured, rent that gets collected, faults that get fixed and owners who know what’s going on. This is what Domuspace does today for that work, and what it doesn’t do yet.

What works today for managing rentals

  • Rental tracking, from the Basic plan: each lease’s file with its monthly payments, its issues, its inspections and its keys, with alerts for contract end and overdue rent. Domuspace records what has been collected; it doesn’t collect it for you.
  • The connection to Booking and Airbnb calendars is built but not open yet: we won’t list it as available until it is.
  • Rental contracts from your template in contracts and e-signature, signed in person or remotely, from the Professional plan.
  • Expiry tasks in the calendar, which you note down with the person responsible, and the day’s summary on the phone before work starts.
  • The company documents folders, with permissions per person: whatever is signed in the app is filed automatically and old contracts are uploaded as PDFs, one at a time, from the Professional plan.
  • Invoices for repairs, utilities and homeowners’ association fees read with OCR in finance, on the Extra plan.

A day in property management

  1. First thing in the morning, rental tracking shows what comes first: contracts ending, overdue rent and urgent issues.
  2. The fault in flat 3B is noted in its file and the technician’s visit in the calendar of whoever is coordinating it.
  3. Before booking a viewing of a home, the calendar warns you if it clashes with another task of whoever is showing it.
  4. The contract expiring in two months has its task noted in the calendar of the person responsible, and it doesn’t renew through oversight.
  5. At the end of the month, the portfolio report is exported as CSV, and anyone who doesn’t handle the financial side sees it without the figures.

What’s half-built: the owner portal and the inbox

Two pieces designed precisely for property management are only partly there, and we say so. In the owner portal, owners already sign up, register their property, compare agencies, send you the property and write to you; viewings are built but not open yet, there is no viewing feedback and the agency doesn’t decide what owners see. In the message inbox, chat between colleagues, chat with portal owners (that conversation stays with the company, not on the agent’s phone) and a read-only mailbox with lead emails already work; WhatsApp, Facebook and Instagram are built and waiting for Meta’s approval, and conversations aren’t linked to the contact’s record.

And the viewing sheet signed by the client on the phone is an idea under study: it doesn’t exist yet and has no date.

One app for the office and the street

The back office works on the computer; whoever shows flats or checks a fault, on the phone, where they clock in, check the file and receive alerts. In this property management software, contracts, rentals, calendar, documents, costs and team share the same data, so nobody copies an amount from one screen to another. Native apps for Android and iOS are on the way.

If you manage property in Spain

Every rental listing has to include the energy label, under Royal Decree 390/2021. And when you need to check who owns a property and what charges it carries, the source is the nota simple, the extract from the Land Registry (Registro de la Propiedad), not the Cadastre, where the owner is protected data.

In Andalusia, holiday rental homes (viviendas de uso turístico) must also be entered in the Andalusian Tourism Register, under Law 13/2011 on Tourism in Andalusia and Decree 28/2016. Domuspace does not handle that registration.

What Domuspace doesn’t do

It is not software for running owners’ associations: it does not cover the duties that article 20 of Spain’s Horizontal Property Act assigns to a building’s administrator, nor the management of an Estonian korteriühistu, governed by the Korteriomandi- ja korteriühistuseadus: it does not call meetings, write minutes or issue service charges or levies. Nor does it collect rent or settle it with the owner — it records what was collected — and it does not publish listings on portals.

Is the owner portal available?

Partly. Owners can already sign up, register their property, compare agencies, send them the property, write to them and grant an exclusive mandate; viewings aren’t open yet. In the message inbox, WhatsApp is waiting for Meta’s approval. Each module shows its real status on its page.

Does Domuspace collect the rent?

No. It records rent collected and rent overdue, but collection and settlement with the owner happen elsewhere.

Does it connect with Booking and Airbnb?

Not yet. The connection to the Booking and Airbnb calendar is built but not open; when it is, it will block the occupied days, not manage bookings.

Can I use it to manage homeowners’ associations?

No. It’s built for managing properties and rentals; association meetings, minutes and fees are outside its scope.

Who sees the amounts?

Only people with permission to manage the financial side; the rest of the team sees the file without the figures.
